Committees and Volunteers


One of the things that makes the Wetumpka High School Band Program so great is the involvement of parents and families. Research has shown again and again that students with involved parents are successful. Even though they might not admit it, students want their parents to be concerned and involved with their participation in The Pride of the Tribe. As a parent, there are a number of ways you can help out with our program. Getting involved is easy and fun. Simply contact a board member, a committee chair, or Mr. Warnix to find out how you can get involved and help our young musicians on their road to success.

Committees

Concessions Committee

This committee is responsible for everything pertaining to the concessions sold at the Wetumpka home foot- ball games. We operate a concession stand on both the home and visitor's side. The concession committee works to ensure there are enough parents to staff each game. They also work with the committee chair to prep food and items prior to each game. 

 

While we are mentioning concessions, remember that each band family must have a parent work the concession stand for at least one home game. Unless something changes due to COVID-19, there are five home games at our stadium during the regular season, and you must sign up for and work a full game to receive the ONE TIME $150 credit towards your child’s fair share. There will be opportunities to sign up for the game you want to work. If the football team makes it to the playoffs, we will need additional volunteers to work concessions for any playoff games played at home. 

 

Please remember that the funds raised through the concession stand help to offset expenses incurred by the band, and ultimately help keep the fair share amount as low as possible. So, it is crucial that everyone does their part to make the concession stand a success! 

Equipment Committee

This committee is responsible for loading and unloading all band equipment at games (home and away), competitions, parades, etc. They also help move equipment on and off the field at halftime. It is also the responsibility of this committee to help transport the equipment trailers (if you have a truck available) when the band is traveling. The members of this committee will receive a ONE TIME $150 credit to their child’s fair share if they are an active participant all season on this committee. This credit is due to the fact that these parents will not be able to work the concession stand since they are working with the band during the games. Families who receive this credit to their fair share are not eligible to receive the concession stand one-time credit towards fair share. 

Fundraising Committee

This committee is responsible for scheduling and organizing all band fundraisers. This includes receiving the orders and collecting money when the students and parents turn them in. With each fundraiser, turn in dates are set ahead of time so that we can schedule fundraising committee volunteers to be on hand to collect the information and money. Once products arrive, this committee helps sort and distribute orders to students and parents on a scheduled date. 

 

This committee is also responsible for organizing fundraiser booster and fair share fundraisers. We currently have the following fundraisers scheduled: band apparel, Yankee Candle, Priester’s Pecans, Boston butts, mattress fundraiser and the silent auction. These fundraisers can vary each year, and are subject to change this year due to COVID-19. As each fundraiser comes up, this committee prepares information that is distributed to the students and information is shared through all of the band communication methods so that parents are aware of the fundraiser. 

 

Fundraiser committee members will be given detailed information and dates well in advance of the events in order to make plans to assist. Our hope is to have enough parents on this committee that we can divide the parents up to work on specific fundraisers so that the same parents aren’t responsible for everything through- out the year. 

 

REMEMBER – These fundraisers help all band members by giving everyone the opportunity to earn money towards fair share, so it is vital that we have help with this committee. 

Uniform/Plume Committee

This committee is responsible for chaperoning the band students when traveling and during away games, competitions, and any other time the band travels. The committee chair works to ensure there is an adequate number of chaperones for each event. In order to chaperone, you must attend a chaperone orientation session and complete a chaperone background check. More information regarding the chaperone meetings and background check process will be provided at a later date. 

Chaperone Committee

This committee is responsible for chaperoning the band students when traveling and during away games, competitions, and any other time the band travels. The committee chair works to ensure there is an adequate number of chaperones for each event. In order to chaperone, you must attend a chaperone orientation session and complete a chaperone background check. More information regarding the chaperone meetings and background check process will be provided at a later date. 

Events Committee

This committee is responsible for coordinating all aspects of the year end band banquet. They also work with the fundraising committee to hold the silent auction at the spring concert. 

Field Maintenance Committee

This committee is responsible for ensuring the band practice field is in good condition. This involves scheduling the spraying of the field and inspecting the field, bleachers, etc. to ensure they are in good condition. 

Photography/Picture Day Committee

This committee is responsible for attending all band performances/events to take photos and videos. They also coordinate to upload the photos and videos on the band Facebook page. 


This committee is also responsible for assisting with picture day to ensure students know what they are supposed to do. This could involve helping with uniforms and directing students to the various stations for payment and photos. 

 

This committee’s responsibilities could vary this year due to COVID-19 guidelines.

Technology Committee

This committee is responsible for setup, oversight, and updating of the Point of Sale system utilized at the concession stands. They are also responsible for working with the fundraising committee and band booster treasurer to implement and utilize technology as needed in those areas. This group also serves as the liaison between the band boosters and the website hosting company. Duties may be added in the future as more technology is needed for the band program. 

Water Committee

This committee is responsible for water/Gatorade coolers during band camp, after school practices, and home games. The coolers must be prepared every morning and afternoon before the start of band camp rehearsals, and afternoons when there are after school rehearsals. This committee must also prepare the coolers before each football game. They are then placed in the stands, readily available to the band. This is an important committee. It is VERY important the kids stay hydrated, especially in the extreme heat during camp and when in their uniforms. If you can help with any times, please sign up. We can work around most schedules.  This committee will not be utilized this year due to COVID-19 guidelines.
